Excel comments: Add, Show/hide, modify, delete, and more advanced operations


Excel comments are available to users during the creation process of an Excel workbook and can be used for a variety of purposes. One of the applications for this function is to provide an explanation of a formula that is now being used in a cell, which is especially helpful when other people will be using the Excel file.

In addition, comments in Excel can be used to add reminders or notes for other users, as well as to cross-reference with other Excel workbooks. This functionality is already available in Excel. Excel gives users the option to resize comments, alter their shape, and format the comments in their desired fashion once they have been added. This option is available once a remark has been added. In order to get the most out of the comments, an Excel user needs become proficient in the various ways they can be managed.

In this tutorial, we are going to learn about how to add comments, show or hide comments, edit and delete the comments.

Add Comments to Cell in Excel

Step 1

To add a comment to a cell, Select the cell where you want to add the comment, right-click on the cell, and scroll down the list until you see the Insert Comment option. See the below given image.

Or else you can follow another method that is Go to Review tab. Then from the Comments ribbon, click on New Comment option. See the below given image.


Step 2

When you click on New Comment, there will be a new text box with the user's name and an insertion point at the beginning of a new line below the user's name. Add your text there and click on outside of the cell to close the text box.

Step 3

To see the comment, you will need to hover your mouse pointer over the cell that has a small red triangle in it.

Show or Hide Comments in Excel

Excel is set up to conceal comments by default. You can see individual remarks by moving the mouse pointer over the cell that contains the comment. Follow the step if you want to hide or show the comment in each cell.

From Review tab − Go to Review tab. Then from the Comments ribbon, click on Show /Hide Comment option if you want to see the comment or do the same if you want to hide the comment. See the below given image.


By right-click on cell − Another method can be used to show or hide the comments is that, Select the cell in which the comment is added, rightclick on the cell, from the options, select Show/Hide Comments.


Edit Comment

After adding comments to your Excel file, you could find that you wish to make modifications to the remarks that you added.

Edit a comment from Review tab − Select the cell whose comment you want to edit. Go to Review tab. Then from the Comments ribbon, click on Edit Comment option. After Editing the comment, click outside of the cell to close the text box. See the below given image.


Edit a comment by right-click on cell − Select the cell whose comment you want to edit. Right-click on the cell, then from the options, select Edit Comment. See the below given image.

Delete Comment

Delete a comment from Review tab − Select the cell whose comment you want to edit. Go to Review tab. Then from the Comments ribbon, click on Delete Comment option.

Delete a comment by right-click on cell − Select the cell whose comment you want to edit. Right-click on the cell, then from the options, select Delete Comment.

Format a Comment

Excel also have the ability to format comments in accordance with their preferred style. The font used in the comments is Tahoma, and the size of the text is set to nine. To change the style, size, colour, and effects of the font, follow the below given steps.

Step 1

Select the cell whose comment you want to format. Go to Review tab. Then from the Comments ribbon, click on Edit Comment option and select the text in the comment box.

Step 2

Then right click there and select Format comment option.

Step 3

A Format Comment popup window will appear. Then you can change the Font, Font style, Size of the text, Color, Effects etc. See the below given image.


After changing click on OK to close the windows. After editing, the comment will look like as below given image.
